Who we are (the data controller)
SepticSortedis the data controller for the personal data described in this policy. Our full legal entity name, registered address and company number will be confirmed here on go-live. We are registered with the Information Commissioner's Office (ICO); our registration number will be shown here once issued. You can contact us about privacy at privacy@septicsorted.co.uk.
What data we collect
When you submit an enquiry through our find-a-specialist form, we collect:
- your name, email address and phone number;
- your postcode;
- your situation (buying, selling or owning) and system type;
- any message you choose to add;
- technical and source information needed to handle the enquiry and prevent abuse — your IP address, the page you submitted from, the page you landed on, the referring website and any campaign (UTM) parameters;
- the exact consent wording you agreed to, with the date and time.
We use cookieless analytics (Plausible) which does not track you across sites or store personal data on your device.
Why we use it, and our lawful basis
Our lawful basis for sharing your enquiry with drainage specialists is your consent. When you submit the form you tick a box agreeing to the following: “I agree that SepticSorted may pass my details to vetted drainage specialists who will contact me about my enquiry. I understand SepticSorted is independent and earns a referral fee, which never adds to my cost.” We store that consent text alongside the time and your IP address as a record that you gave it. You can withdraw consent at any time (see your rights below); withdrawing does not affect sharing that has already taken place.
Who we share it with
We share your enquiry with one or more vetted drainage specialists (drainage and off-mains sewage firms) covering your area, so they can contact you about your enquiry. We also use trusted service providers to operate the site — a cloud hosting and database provider, an email delivery provider, and a spam-prevention provider — who process data on our behalf under contract. We do not sell your data.
Where your data is stored
Enquiry data is stored in a database hosted in the United Kingdom or European Economic Area. Where any provider processes data outside the UK/EEA, we rely on appropriate safeguards such as UK adequacy regulations or standard contractual clauses.
How long we keep it
We keep enquiry records for up to 24 months from your last contact with us, after which they are deleted or anonymised, unless we need to keep them longer to meet a legal obligation or to handle a dispute.
Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- restrict or object to our processing;
- data portability;
- withdraw consent at any time.
